Trial Igniter · included with My Class Manager

The teacher marks the roll.
The follow-up writes itself.

Every trial gets exactly one of three outcomes: attended, no-show, or cancelled. Trial Igniter notices which within minutes of the roll being marked, and starts the right sequence of emails and texts. You never remember to chase anyone again.

Three outcomes, three pathways

What happened at the trial decides what gets sent.

A scheduler sweeps every five minutes. The moment a trial's outcome is decidable, exactly one pathway launches. Not three generic emails; the right one.

Attended

Enrolment nurture

Marked present or late, not yet enrolled. Four positive touches over ten days, with the teacher's own feedback dropped into the first one and a button that enrols them for the rest of the term.

Sounds like

“Mia did brilliantly tonight. Here’s what Jess said, and here’s how to keep her spot.”

No-show

Reschedule sequence

Marked absent. Friendly, no guilt, a button to book another time. Optionally also fires when the roll was simply never marked, after a two-day grace so a late-marking teacher still wins.

Sounds like

“We missed you on Tuesday. Life happens. Here are three other times this week.”

Cancelled

Gentle nudge

Cancelled before it happened. Waits 21 days by default, then a soft check-in. Enough space that it reads as thoughtful, not as chasing.

Sounds like

“No pressure at all. If the timing’s better now, we’d love to have Mia along.”

Four touches, then it stops

Timed the way a good front desk would do it by hand.

Two hours after the trial while it's fresh. Two days. Five days. A last nudge at ten. Every step is an email, a text, or both, with a button that goes to the right place: book another trial, or enrol for the rest of the term.

The sequence stops itself the moment the family enrols, or when it hits its maximum duration. No zombie automations emailing a parent whose child has been in class for a month.

The bit that converts

The teacher's words, in the parent's inbox.

After the trial, the teacher jots two lines of feedback in their portal, gives a star rating, maybe adds a class photo, and ticks Share with parent. It drops straight into the follow-up email.

From Jess, Ballet Grade 2

★★★★★

"Mia picked up the port de bras faster than anyone in the room and was helping the girl next to her by the end. She'd be a lovely fit for this class."

A generic "we'd love to see you again" gets ignored. A specific, kind sentence about your own child does not.

One click to enrol

The button does the whole job.

"Enrol for the rest of the term" opens a page with the student and class already filled in. The parent confirms. The trial becomes a full enrolment on the spot, billing starts from that day, and the studio's welcome email goes out.

Pipeline cardMoves to Enrolled

Card details are never collected on that click. The parent adds billing inside the portal, the way you've set it up.

Built by someone who's lost a trial to a forgotten follow-up

The details that keep it honest.

Tracking from day one

It's on by default and watching your trials immediately. Nothing is emailed or texted until you turn on a pathway. That's the single explicit step.

A cancelled class is never a miss

Before treating an unmarked roll as a no-show, it checks the class actually ran that day. Public holiday, closure, cancelled session: nobody is told they missed something that never happened.

Hot, warm, cold

Each parent gets a lead score from how they engage with the messages. So when you do pick up the phone, you ring the right three people first.

Cards move themselves

Trial attended, no-show, cancelled, enrolled: the pipeline card advances on its own. Forward only, never backwards. Lost stays on the board, not deleted.

Honest conversion rate

Enrolled divided by enrolled plus lost. A lead still working through the pipeline isn't counted yet, and losses are never quietly dropped from the figure.

Diagnostics that say why

If a trial you expected doesn't appear, the Diagnostics tab tells you: waiting for the roll, no class ran that date, no trial date recorded, or the pathway is off.

Where the leads come from

Every enquiry lands on the board. With the info pack already sent.

Put an enquiry form on your website and every submission becomes a New Lead. Someone picks "Ballet Grade 2" as their class of interest and the reply rule for that class fires: the right brochure, timetable and fees sheet go out within seconds, as attachments or as links so the email never lands in junk.

And it tells you when you've added a class and forgotten to give it a pack: 3 of 12 classes still have no info pack, by name.

Stop losing trials to a follow-up nobody sent.

Trial Igniter is already tracking outcomes the day you start. Turn on a pathway when you're ready to send.
